TERMS & CONDITIONS

These Terms & Conditions apply to all enquiries, quotations and bookings made with Blooms by Bex (“we”, “us”, “our”). By confirming a booking, you agree to the terms outlined below.
1. ABOUT US
Blooms by Bex is a wedding and event floristry business based in Pembrokeshire, West Wales; providing floral design services for weddings and related events.
2. ENQUIRIES & QUOTATIONS
All quotations are provided based on the information supplied at the time of enquiry. Quotes are valid for 14 days. If a booking is made after the 14 day quote window, this may affect Blooms by Bex availability for your event date and result in an increased quote price. As flowers are seasonal and subject to market conditions, we reserve the right to make substitutions of equal or greater value where necessary. Any substitutions will be made in keeping with the agreed style and colour palette.
3. BOOKING & PAYMENT
Your date is secured and confirmed only once a non-refundable 25% booking fee has been received. The booking fee: confirms availability for your date, covers consultation, planning and design time, and is deducted from your final balance. A further 25% payment is due 6 months prior to the wedding/event. If the wedding/event is booked with less than 6 months notice, then a non-refundable 50% payment will be due at time of booking. The remaining balance is due no later than 4 weeks before your wedding/event date. If the balance is not received by this date, we reserve the right to cancel the booking. The booking fee will only be refundable in the unlikely event that Bex cancels the booking due to unforeseen circumstances.
4. MINIMUM ORDER & PRICING
We offer a flexible, item-by-item service rather than fixed packages. Most weddings fall within a £900 - £1500 spend, depending on selections made. There is no minimum order for collection items. For weddings/events requiring delivery beyond 10 miles from Blooms by Bex studio in Sardis; a minimum spend of £300 and additional travel costs will apply.
5. DELIVERY, SETUP & ON-SITE SERVICES
Delivery and setup charges are calculated based on location, access and time required. These will be outlined in your quote. If you require us to remain onsite to move or restyle arrangements between ceremony and reception, a retainer fee will be included in your quotation. If Blooms by Bex is required to return to the venue following the wedding to dismantle any installations and distribute flowers; this must be arranged with Bex before the final payment is due. This will incur additional travelling and labour costs. We will liaise with venues regarding access times, but we cannot be held responsible for delays caused by third parties.
6. CHANGES TO YOUR ORDER
We understand plans evolve. Minor adjustments can be made up to 4 weeks before the wedding date - subject to availability. Significant changes may require a completely revised quotation. After the final balance has been paid, we cannot accept any further changes.
7. CANCELLATION
If you cancel your booking:• The booking fee is non-refundable. Cancellations with less than 4 weeks before the event may be charged up to the full balance; as materials and preparation will already have been committed; however, an alternative date may be negotiable.
8. FLOWERS & SEASONALITY
Flowers are a natural product and may vary in colour, size and form. We cannot guarantee exact replicas of inspiration images but will design florals in line with the agreed aesthetic.
Should you have any issues with the quality or standard of the flowers/displays, you must notify Blooms by Bex on the day of receipt. Blooms by Bex reserves the right to rectify any errors on the day without prejudice and where appropriate will provide a suitable alternative. Any complaints regarding the quality, shape, size, quantity etc cannot be accepted after the day of the event. Blooms by Bex reserves the right to terminate the contract if deemed necessary.
9. HIRED ITEMS (If applicable)
Any hired items (vessels, pedestals, stands, etc.) remain the property of Blooms by Bex. These items include a hire fee and must be returned in good condition. Loss or damage may incur a replacement charge. Vases will be included in your package and are therefore yours to keep after the event.
10. LIABILITY
Blooms by Bex will take all reasonable care in delivering services. However, we are not liable for:• Delays caused by venues or external suppliers, damage to flowers once they have been delivered or installed, extreme weather or environmental conditions affecting fresh flowers. Our total liability shall not exceed the total value of the booking.
Health & safety takes priority at all times, and therefore Blooms by Bex reserves the right to refuse a previously agreed installation or display if deemed unsafe to do so.
11. PHOTOGRAPHY
We reserve the right to photograph our work and use images for portfolio, website and marketing purposes unless otherwise agreed in writing.
12. FORCE MAJEURE
We shall not be liable for failure to perform obligations due to events beyond our control, including but not limited to extreme weather, illness, transport disruption, or supply chain failure.
13. GOVERNING LAW
